Privacy Policy

Last updated:

This Privacy Policy explains how Glowllkneeux ("we", "our", "the studio") collects, processes and protects personal data when you visit our website, contact us through the website forms, or take part in our coaching programs. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Finnish data protection law.

1. Who we are

Glowllkneeux is a small routine coaching studio based at Vaasankatu 14, 00500 Helsinki, Finland. We act as the data controller for all personal data collected through this website and our coaching services. You may reach our data contact via the address above, by phone at +358 44 365 9827, or by writing to serviceteam@glowllkneeux.world.

2. What data we collect

We try to collect as little personal data as possible. The categories of data we may process include:

  • Identification data: your name, the name of any organisation you represent, and your preferred form of address.
  • Contact data: your email address, and optionally a phone number if you choose to share one.
  • Message content: the words you share with us in the contact form or by email.
  • Coaching data: notes from sessions, the rhythm plan we co-create, and your progress reflections — accessible only to your coach.
  • Technical data: limited information such as your browser type, operating system, anonymised IP region and the pages you visit, collected through standard server logs and cookies.

3. How we use your data

We process personal data for the following purposes:

  • To respond to your enquiries sent through the contact form or by email.
  • To provide and improve coaching services that you have requested.
  • To send service-related communications, such as scheduling notes and session summaries.
  • To maintain the security and reliability of the website.
  • To comply with legal obligations, including bookkeeping and tax requirements.

4. Legal bases for processing

We rely on one of the following legal bases when processing your personal data:

  • Consent. When you tick the consent box in our contact form or otherwise actively agree to a specific use of your data.
  • Performance of a contract. When processing is needed to deliver a coaching program you have booked.
  • Legitimate interest. For example, to keep our website safe or to reply to enquiries that clearly seek our service.
  • Legal obligation. Where the law requires us to keep certain records.

5. Sharing your data

We do not sell your personal data. We share data only with trusted service providers who help us run the studio — such as our email host, scheduling tool, payment processor and website host. Each provider is bound by a written agreement to handle your data only on our instructions and to apply appropriate security measures.

We may disclose personal data when required by a competent authority or to protect our rights, but we will limit any disclosure to what is strictly necessary.

6. International transfers

Most of our service providers are located within the European Economic Area. When data must be transferred outside the EEA, we rely on the European Commission's Standard Contractual Clauses or equivalent safeguards to ensure your data remains protected.

7. How long we keep your data

We keep personal data only for as long as it is needed for the purposes described above:

  • Contact form enquiries: up to 24 months from your last message, then deleted.
  • Coaching client records: for the duration of the program and up to 36 months after, unless a longer period is required by law.
  • Accounting records: for the period required by Finnish bookkeeping law.
  • Website server logs: a short rolling window, typically less than 90 days.

8. Your rights

Under the GDPR you have the right to access the personal data we hold about you, to ask us to correct or delete it, to restrict or object to certain processing, and to receive your data in a portable format. Where processing is based on consent, you may withdraw consent at any time without affecting the lawfulness of earlier processing.

You may exercise these rights by writing to our contact address. We respond to all requests as soon as we can, and at the latest within one month. You also have the right to lodge a complaint with the Finnish Data Protection Ombudsman.

9. Security

We apply organisational and technical safeguards to keep your data secure. Access to personal data is limited to people in the studio who genuinely need it, our website is served over HTTPS, and we review our security practices regularly.

10. Children's privacy

Our coaching services are designed for adults. We do not knowingly collect personal data from children under the age of 16. If you believe a child has provided us with personal data, please contact us and we will delete the information promptly.

11. Updates to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The "last updated" date above shows when the most recent version came into effect. For significant changes, we will display a notice on the website before they take effect.
